Form 16 is a TDS certificate issued by an employer to a salaried employee when tax has been deducted from salary during a financial year. It confirms that the employer has deducted tax at source and deposited it with the Government against the employee’s PAN. 

Form 16 provides a summary of your salary income and the tax deducted from it. It also includes details such as allowances, exemptions, deductions, rebates, and the final tax calculation considered by your employer. 

Form 16 has two parts, Part A and Part B. Part A mainly contains details of tax deducted and deposited, while Part B explains the salary breakup and tax computation.

How to download Form 16 online 

The process of getting Form 16 depends on whether you are a salaried employee or an employer. 

For salaried employees 

Most salaried employees cannot directly download Form 16 from the Income Tax Department portal. Instead, the document is issued by the employer after it is generated through the TRACES (TDS Reconciliation Analysis and Correction Enabling System) portal. 

You may receive Form 16 through: 

  • By email from your HR or payroll team 
  • Through your company’s HR management system (HRMS) or employee self-service portal 
  • By requesting it from your employer or payroll department 

If you changed jobs during the financial year, remember to collect Form 16 from each employer who deducted TDS from your salary. 

For employers 

As per the Income Tax Department, employers can download Form 16 from TRACES by following these steps: 

  1. Visit TRACES at www.tdscpc.gov.in. 
  1. Log in using the User ID, Password and TAN. 
  1. Go to Downloads and select Form 16. 
  1. Select the financial year, enter the employee’s PAN and click Add. 
  1. For bulk download, select the financial year under Bulk PAN Download and click Go. 
  1. Verify the details displayed on the next screen and click Submit. 
  1. Select either DSC-based validation or Normal Validation. 
  1. After submitting the request, note the reference number shown on the screen. 
  1. Go to Downloads and select Requested Downloads. 
  1. Enter the request number and click Go. 
  1. Once the file is available, select the relevant row and click HTTP download. 
  1. Download the TRACES PDF Generation Utility to view the downloaded Form 16 in PDF format. 
  1. Use separate utilities for Form 16 Part A and Form 16 Part B. 
  1. Enter the captcha and click Submit to download the utility. 

Employees should therefore obtain Form 16 from their employer instead of trying to download it directly from TRACES. 

Components of Form 16 

Form 16 consists of two parts that together summarise your salary income, tax deducted at source (TDS) and the calculation of your taxable income for the financial year.

Part A Employer and employee details, PAN, TAN, period of employment, and quarterly details of TDS deducted and deposited with the Government. 
Part B Salary breakup, exemptions, deductions claimed under the Income-tax Act, taxable income and the computation of tax liability. 

While Part A primarily serves as the TDS certificate issued by the employer, Part B explains how your taxable salary and income tax have been calculated. Together, these two sections make Form 16 one of the most important documents for salaried taxpayers while preparing and verifying their income tax return. 

Form 16 Part A 

Part A is the TDS certificate section of Form 16. It contains key details about your employer, your employment and the tax deducted from your salary during the financial year, helping you verify that the TDS has been deposited with the Government. 

Part A typically includes the following information: 

  • Name and address of the employer 
  • Employer’s Permanent Account Number (PAN) 
  • Employer’s Tax Deduction and Collection Account Number (TAN) 
  • Name and address of the employee 
  • Employee’s PAN 
  • Financial Year and Assessment Year 
  • Period of employment 
  • Certificate number 
  • Quarterly summary of TDS deducted and deposited 
  • Challan details relating to the TDS deposited with the Government 

You can compare the TDS details in Part A with your Form 26AS to ensure they match. If you notice any discrepancy, it is advisable to contact your employer before filing your Income Tax Return, as Form 26AS reflects the tax deposited against your PAN. 

Form 16 Part B 

Part B shows how your taxable salary and income tax have been calculated after considering the applicable exemptions and deductions. It gives you a detailed breakdown of the figures used by your employer to calculate your tax liability. 

Part B generally includes the following information: 

  • Gross salary: The total salary earned during the financial year, including allowances, bonus and other taxable components. 
  • Salary exempt under Section 10: Eligible exemptions such as House Rent Allowance (HRA), Leave Travel Allowance (LTA) and other applicable exemptions. 
  • Standard deduction: The standard deduction considered while calculating your taxable salary. 
  • Income chargeable under the head “Salaries”: The salary remaining after eligible exemptions and the standard deduction have been reduced from your gross salary. 
  • Chapter VI-A deductions: Deductions claimed under provisions such as Section 80C, Section 80CCD(1B), Section 80D and other eligible sections. 
  • Taxable income: The income on which your tax liability has been calculated.

What is the Form 16 PDF password?

The password format is usually decided by the employer and shared in the email, HRMS portal or payroll portal where the document is made available. 

Form 16 password format with example 

The Form 16 password format may vary from one employer to another. Most employers use a combination of employee details such as your PAN, date of birth, employee ID or date of joining. 

One of the most commonly used formats is: 

First five characters of your PAN (in uppercase) + Date of birth in DDMMYYYY format 

For example, suppose your PAN is ABCDE2050K and your date of birth is 27 March 1994. If your employer follows this format, your Form 16 password would be: 

ABCDE27031994 

Here, ABCDE represents the first five characters of your PAN and 27031994 represents your date of birth in DDMMYYYY format. 

Some employers may use a different password format. A few commonly used examples are shown below:

Why is the Form 16 PDF password protected? 

Form 16 is password protected because it contains sensitive salary and tax information that should not be accessed by anyone other than the intended recipient. The document may include details such as your PAN, employer information, salary income, TDS, exemptions, deductions, taxable income and tax liability. If this file is accidentally forwarded or downloaded on a shared device, these details could be exposed. 

By adding a password, employers create an extra layer of security before sharing Form 16 electronically. Even if someone gets access to the PDF, they would generally need the correct password to open it. 

How to open a password-protected form 16 PDF 

You can open a password-protected Form 16 by entering the password in the format shared by your employer. Follow these steps: 

  1. Open the Form 16 PDF on your computer or mobile device. 
  1. Enter the password exactly as mentioned in your employer’s email or HR portal. 
  1. If the password uses your PAN, check whether the letters need to be in uppercase or lowercase. 
  1. If the password uses your date of birth, enter it in the required format, such as DDMMYYYY. 
  1. Once the password is accepted, you can view, save or print the document. 

A commonly used Form 16 password format is the first five characters of your PAN followed by your date of birth in DDMMYYYY format. However, your employer may use a different format, so it is best to follow the instructions shared with the file. 

If the PDF does not open, check whether the PAN, date of birth, spelling, capital letters and downloaded file are correct. If the issue continues, contact your HR or payroll team to confirm the password format or request a fresh copy. 

How to remove the password from a form 16 PDF 

You may want to save an unprotected copy of Form 16 for future reference or for uploading it to tax filing software. Before doing this, make sure you store the file securely because Form 16 contains sensitive details such as your PAN, salary and tax information. 

You can remove the password from Form 16 by following these steps: 

  1. Open the Form 16 PDF using the correct password. 
  1. Use the Print option in your PDF reader or browser. 
  1. Change the printer destination to Save as PDF. 
  1. Click Save and choose a secure location on your personal device. 
  1. Open the newly saved file to check whether it can be accessed without entering the password. 

Avoid saving an unprotected copy on shared or public devices. Also, note that using the Print to PDF method may change the file format in some cases, and the new PDF may not work properly with all software.
